What Is Material Codification? A Complete Guide for Industrial Organisations

28 October 2026

Material codification is the foundation of reliable material master data. This guide explains what it is, why it matters and how to get it right.

What Is Material Codification?

Material codification is the process of assigning each physical item in your inventory a unique code and a structured, consistent description. The goal is to ensure that every material — from a gate valve to a ball bearing — can be unambiguously identified, searched, purchased and managed across departments and systems.

Why Does It Matter?

Without consistent codification, the same item may be stored under dozens of different descriptions. A 50mm gate valve might appear as 'Gate Valve 2 inch', 'VALVE GATE 50NB', 'GV-50-PN16' and 'gate vlv 2"' — all referring to the same part. This leads to duplicate purchasing, excess stock, missed reorder points and inaccurate spend analysis.

The Structure of a Material Code

A well-designed material code typically follows a hierarchy: Group → Subgroup → Noun → Modifier → Serial. For example, a code in the 'Valves' group, 'Gate Valves' subgroup, with modifiers for size, rating and material gives procurement teams exactly the context they need.

What Makes a Good Material Description?

An effective material description follows a noun-modifier-attribute format. Rather than 'small gate valve for water', a properly coded description reads: 'VALVE, GATE, DN50, PN16, BODY:CS, END CONNECTION:FLANGED, STANDARD:API600'. Every attribute is defined, every value is specific.

How VCode Approaches Codification

VCode combines AI-assisted parsing with specialist human review. The AI extracts attributes from existing descriptions and drafts a structured output; a material master specialist reviews every record before it is delivered.
